Lawmatics Optimization

Who This Is For

 You have Lawmatics, or you're about to, but it's either not fully built out, not being used the way it should, or nobody's actually responsible for keeping it running. That's costing you leads and time you don't have to spare.

What You Get, broken into the actual tiers from your service agreement:

  • Setup Phase I: Assessment (one-time - USD 2,000)
    Review of existing Lawmatics configuration, mapping of intake and workflow processes, identifying gaps and risks, review of SOPs and templates, and a written roadmap for implementation. 


  • Setup Phase II: Implementation (3-4 months)
    Building pipelines and stages, configuring workflows and automations, setting up scheduling and integrations, configuring forms and engagement letters, and creating system documentation.


Once setup is complete, you can choose between two level of ownership:


  • Support: Maintenance (monthly)
    System administration, updates and edits to existing workflows/automations/forms/fields, break/fix support, staff guidance, and SOP updates as your operations evolve.


  • Ownership (monthly)
    End-to-end ownership of your Lawmatics configuration and execution, continuous optimization, and one point of responsibility for the whole system, not scattered across your team.


Add-On: Reporting (add-on, weekly/monthly/quarterly/annual)
Operational and intake dashboards, tracking intake flow and call activity, monitoring lead-to-consult-to-retained performance, and reports that actually explain what the numbers mean.

Frequently Asked Questions

 

Maintenance keeps your existing system running, updates, edits, break/fix support, staff guidance. Ownership goes further, we take full responsibility for your Lawmatics configuration and continuously optimize it, not just keep it from breaking.


During Setup (Phase I and II), expect more involvement upfront, we need your input on how intake and workflows should actually run. 


Once you're on Maintenance or Ownership, you're kept in the loop through our regular management meeting, not pulled into the day-to-day system work.


Phase I starts with a full assessment, we review your existing setup, map your intake and workflow processes, and flag gaps or risks. You'll get a written roadmap before any implementation work begins. If you skip straight to Maintenance or Ownership because Lawmatics is already built, timeline is faster, closer to what we outlined for HR onboarding.


Either. If it's not built yet, we start with Phase I (Assessment) and Phase II (Implementation). If it's already built but underused or messy, we start with an audit and go from there under Maintenance or Ownership.


Either of us can end the agreement with 30 days' written notice. That covers you if it's not the right fit.


That said, we'd recommend giving it at least 3 months before deciding. Month one is rapport-building and understanding your firm, not full execution yet. Some firms start feeling things come off their plate by month two, but by month three, it's consistently noticeable. Leaving earlier means judging the service before it's had the chance to actually run.


Any work already invoiced remains payable, and if you cancel mid-month, that month's fee is still due.


I niche into two industries: Law Firms and Mental Health Clinics, with a stronger focus on Law Firms. I'm usually the right fit for firms with 2 to 20 employees. Past that, most firms outgrow what I offer, and honestly, I'm happy to see them off and welcome a new client in.
